REPORTING AND ACCESSING PROJECT REPORTS
REPORTING – WHAT, WHY, HOW, and WHEN
WHAT IS A PFR REPORT?
A PFR is a report that a club or union can submit to report on a project that has just started, that is being implemented or that has been completed.
WHY
Starting now PFRs will replace the club/union annual reports on programme/projects. This will allow all projects to be recognised and reported on provided a PFR has been submitted. Soroptimists from your own Federation as well as from the other Federations can access and read all the PFRs that have been entered into the new database. They provide Soroptimist representatives to the UN and to other International bodies information of what is being done successfully by the members. They can be an inspiration to others and are an excellent PR tool. Furthermore, your project, just like any others, will go into the database and compete for the annual "Best Practice Award" which is given every year to the most significant project in each of the programme areas.
HOW
With the new web-based database set up by SI it is easy to file your Programme Focus report online by going to http://reports.soroptimistinternational.org. If you prefer not to go online there are other alternatives (see below under b.)
a. If you are going to use the new database form you need to have the following codes:
b. You can send your PFR to SI/E Headquarters (SEP) either as an attachment to an e-mail, by post or by fax, using the empty PFR form, which you can obtain at any time either directly from
to send you one.
SI/E members have a number of reporting options.
Option a. by using the link to enter the PFR Reporting System
(see codes above) and click on Submit Reports. Fill in as precisely as possible all boxes and then click on Submit. This report must be either in English or in French.
The report you have now submitted reaches SEP where it will be reviewed and approved before it is sent online. Review means that your report will be proofread and edited, if necessary, so that it may be submitted online after it has been corrected for any possible language mistakes. The contents of the report will not be modified. If the PFR is submitted in French it will be translated into English.
Option b. Use the PFR form available on the website (empty form) and send it in either English or French as an e-mail attachment by
or send it by fax at +41 22 7890443 or by post and we shall edit/proofread/correct or translate and submit it for you. If you cannot get the empty form from the website, ask SEP to send you one.
WHEN
PFRs can be submitted at any time. There is no deadline and no time limit. Example:
1. You are just starting a project and want others to know about it.
2. Your project has gone ahead and you want others to know about its progress.
3. Project has been completed and you want to make the outcome known.
DISSEMINATION OF PFRs
A copy of the PFR received at SEP will be sent to the respective SI/E Programme Co-ordinator(s) – depending on programme area(s) – and to the Union Programme Liaison or Union President as well as to the SI/E Programme Liaison.
Good luck!! Make it a habit to report regularly on your Club/Union projects/actions so that SI/Europe may be known as a dynamic Federation.
Don’t keep what you do for yourself – share it with others!!
